How it works
Connect. ClearDeposits reconciles. You approve.
Three steps, the same every month.
- 1
You
Connect Stripe
A read-only key. About two minutes.
- A restricted Stripe key with read access and report generation. It cannot move money, and it is encrypted and never shown again.
- Or upload Stripe and bank statement CSV exports.
- Pick the basis: accrual, cash in the bank, or Stripe 1099-K (available-on date; timing only).
- 2
ClearDeposits
Reconciles, checks its own work, drafts the entries
Daily, all month, in its own subledger.
- Pulls Stripe every day at an hour you choose. Every row is validated; a row that fails is listed with its reason, never dropped. Nothing is counted twice.
- Maps every line to an account from default rules and your Stripe products, prices and metadata. You can read and edit the rules at any time; a change redrafts the plan.
- Matches each payout to the bank deposit it produced, to the cent by default, and associates manual payouts with the charges they paid out.
- Names every variance: fees, refunds, chargebacks, timing, bank fees, open items. Nothing is netted.
- Checks its own work. Charges less deductions are tied to each payout, and the balance it computes is compared with the balance Stripe reports, so you see the tie-out done, not a tie-out to do.
- Keeps the lineage. Every figure opens to the rows that sum to it: payouts, transactions, line items.
- Drafts the posting plan: balanced entries by account, with a basis you chose.

You
Review and approve
Read the work. Change what you need. Approve.
- Review the tie-out, the variances named and the accounts chosen. Reclassify a line or change a match if you need to; the plan redrafts with the change recorded.
- Approve. Post and Close asks for a fresh code emailed to you, then closes the month for good.
- At month end, one summarised accounting CSV, laid out by account and QuickBooks Online activity, for you to import into QuickBooks Online. Posting straight into QuickBooks Online is work in progress.
