Choosing a Stripe to QuickBooks Online integration: eight questions to ask
Sync connectors, AI categorisation, workflow tools and subledgers solve different problems. The questions that tell you which one you have.
There is no best Stripe to QuickBooks Online integration. There are four kinds of tool, each built for a different problem. The questions below sort out which problem you have. We make one of these tools and say so where it matters. For what the QuickBooks Online bank feed carries on its own, see bank feeds, middleware or a subledger.
The four kinds
| Kind | What it does | Examples |
|---|---|---|
| Sync connector | Watches Stripe and posts each sale, fee, refund and payout into QuickBooks Online as QuickBooks Online documents, automatically or, in some, after a review tab. Corrects what is already posted by rolling back or undoing, then syncing again. | Synder, Acodei, PayTraQer, Intuit's own connector |
| Workflow engine | Any event to any action. You build the accounting logic yourself. | Zapier, Make |
| AI bookkeeping layer | Categorises transactions across the whole set of books by pattern, posts summarised entries, you review in QuickBooks Online. | FinLens and others |
| Subledger | Keeps its own balanced ledger of charges, fees, payouts and deposits, reconciles it to Stripe and the bank, and drafts summarised entries for you to approve before posting. | ClearDeposits; enterprise reconciliation suites at larger scale |
Eight questions
- Do I need customer-level detail in QuickBooks Online?
If you invoice from QuickBooks Online, track receivables there, or want a sales receipt per customer, a sync connector is the right kind. If QuickBooks Online is the general ledger and the detail can live elsewhere, a summarised entry per month keeps QuickBooks Online fast and the audit trail in one place.
- Do I want to see entries before they post, or audit them after?
Most sync connectors post automatically, then you check QuickBooks Online; some offer a manual mode or a review tab first, and AI layers approve by confidence score. A subledger shows every draft entry and waits. If you have ever rolled back a sync, you have answered this question.
- What basis are the books on?
Most tools book on the charge date, which is accrual-shaped. A cash-basis business, or one that wants revenue to tie to the 1099-K, needs the tool to date revenue on the available or bank date. Ask directly; few do.
- How does it handle a payout that does not tie?
A one-way pipeline has nothing to compare the payout against, so a $20 dispute inside a $5,000 payout shows up as a clearing-account drift at month-end. Ask what the tool shows you when the bank deposit differs from the payout.
- What happens on an error?
Deleting posted transactions from QuickBooks Online and re-syncing is quick, and it rewrites history. If your books are reviewed or audited, you want a correction to be a new entry in the current period, with the original left in place.
- Can I read the mapping rules?
Revenue by product or service line depends on rules from Stripe products, prices and metadata. If the rules are a black box, or probabilistic, you will audit the output anyway. Ask to see the rule that put a given charge on a given account.
- How are refunds of split invoices and sales tax handled?
A partial refund of an invoice with two products, tax and a discount has to be allocated in proportion. Tax is a liability, not revenue. Many tools post the refund as one line against revenue.
- What does it do with my Stripe key?
It should ask for a restricted key with read access only, test it before storing it, encrypt it, and never show it again. Anything that asks for a full secret key can move money.
Where each kind fits
- Sync connector: an owner-run business with low volume that wants Stripe sales in QuickBooks Online with no accountant in the loop, and accepts auditing after the fact.
- Workflow engine: one-to-one automations with no accounting logic, such as creating a QuickBooks Online customer from a Stripe customer.
- AI layer: a firm that wants a first pass across all transactions, bank and card included, and will review in QuickBooks Online.
- Subledger: an accountant, bookkeeper or fractional CFO who treats the books as a first-class function, wants to approve before posting, and needs variances named rather than hunted.
ClearDeposits is the fourth kind. Today it produces a monthly summarised CSV for QuickBooks Online; posting straight into QuickBooks Online is work in progress. It works with Stripe only. If your answers to questions 2, 4 and 5 are the ones a sync connector cannot give, the comparison pages set out the differences product by product.
