A Synder or Acodei alternative for accountants who review before posting

When a Stripe sync tool is the right answer, when it is not, and what to look for if you need a review step and a clearing account that reconciles.

Synder and Acodei are the two Stripe to QuickBooks Online connectors accountants most often ask us about. Both are sync tools: they turn Stripe events into QuickBooks Online records (sales receipts, refund receipts, expenses, transfers), automatically, or in Synder's manual mode after you have looked at them. For a lot of businesses that is exactly right. This post is for the cases where it is not, and what to look for instead.

When a sync tool is the right answer

  • The owner keeps the books, there is no accountant reviewing monthly, and the goal is for Stripe sales to appear in QuickBooks Online without typing.
  • Customer-level detail belongs in QuickBooks Online: invoices are raised there, receivables are tracked there, and a sales receipt per Stripe charge is wanted.
  • Volume is low enough that one QuickBooks Online transaction per Stripe event does not slow QuickBooks Online or clutter the bank feed.
  • Correcting a mistake by rolling back what was posted and syncing again (Synder's rollback, PayTraQer's undo) is an acceptable workflow.

When it is not

The people who come to us from a sync tool describe the same four things.

  1. They want to see the entries first. In automatic mode the tool posts and they audit QuickBooks Online afterwards. A manual mode or a review tab shows transactions before sending, but a mapping change still applies only to what is built after it; what was already posted is rolled back and synced again. They want a draft they can read, change and approve, with the change applied across the open period.
  2. The clearing account drifts and nothing says why. A one-way pipeline has nothing to compare against. A failed sync, an edited receipt, a manual payout or a cross-month dispute shows up as a balance that will not zero, found at month-end with a spreadsheet.
  3. The books are cash basis. Charge-date posting is accrual-shaped. Tying revenue to the bank or to the 1099-K means re-dating everything.
  4. QuickBooks Online is getting slow and the general ledger is getting long. Thousands of individual transactions a month, each a QuickBooks Online document.

What to look for instead

The alternative to a sync tool is not a better sync tool. It is a different kind of tool: a subledger that holds its own balanced record of every charge, fee, refund, payout and deposit, reconciles that record to Stripe and the bank, and hands QuickBooks Online a summarised, approved entry. The things to check:

  • A review step before posting. The proposed entries, with the rule that produced each line, on screen. Change an account, the plan redrafts, the change is recorded.
  • Its own balances. It should know, on any date, what Stripe has captured but not made available, what is available but not paid out, and what is paid out but not yet in the bank, and compare that with Stripe's reported balance.
  • Variances named. When a $5,000 payout arrives as $4,980, it should say "$20 dispute on charge X", not "difference $20".
  • A basis setting. Accrual, cash in bank, or Stripe's available date, applied to every transaction.
  • Immutable history. A closed month is not edited or deleted. A correction is a new entry in the current period, with lineage back to the original.
  • Summarised posting. One balanced entry per account and activity per month, with the detail kept in the subledger.
  • A read-only Stripe key. Restricted, tested before it is stored, encrypted, never shown again.

What you give up

Customer-level documents in QuickBooks Online. A subledger posts totals; the per-customer detail lives in the subledger and in Stripe. If you raise invoices in QuickBooks Online and need receivables there, a sync tool, or both tools, is the better fit.

Where ClearDeposits stands

ClearDeposits is a subledger of the kind described. It does the items in the list above. It does not yet post directly to QuickBooks Online: at month end it produces one summarised CSV you import, and direct posting is work in progress. It works with Stripe only and has no bank feed. The Synder and Acodei comparison pages list the three differences that decide it for most accountants.
